SUMMARY DESCRIPTION:
TPW West seeks a responsible Administrative Assistant to prepare logistics for our member programs and meetings as well as provide operational and administrative support for our small office. Our working environment is informal, collaborative, fast-paced and professional.
RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
Event Coordination
Support the program team reporting to the Program Director with program event logistics including:

Prepare for and coordinate logistics for program events and activities including occasional nights and weekends

Source sustainable and socially conscious products for program events and activities
-
Scheduling and meeting preparation
-
Coordinate with vendors including caterers, hotels, florists, musicians, AV suppliers, event managers, and travel agents
-
Make travel arrangements
-
Collect and track RSVPs for program events and activities in Salesforce database
-
Assist with research for programs and materials where needed
Member Services
Support the member services team reporting to the Associate Director of Member Services with the following:

Assist with tracking event attendance and member engagement in Salesforce Database
-
Compile and write member newsletter
-
Assist with recruitment tracking
-
Maintain recruitment and new member materials
-
Respond to member needs and inquiries in person, writing and on the phone where appropriate
-
Handle sensitive communications promptly and appropriately
Office Administration
-
Manage office inventory and supplies
-
Maintain technology and general office equipment
-
Prepare expense reports
-
Write and prepare reports, spreadsheets and meeting minutes
-
Create and compile office manual
-
Organize and maintain both paper and electronic office files
-
Recruit and oversee interns
REQUIRED QUALIFICATIONS:
-
BA/BS or equivalent combination of experience and education
-
Experience in a key administrative position with significant responsibilities
-
Experience with event coordination
-
Ability to work independently with minimal supervision as well as collaboratively
-
Excellent oral, written, and interpersonal skills
-
Ability to prioritize, problem-solve, budget time appropriately, and multi-task
-
Strong attention to detail
-
High proficiency in MS Office Excel, Outlook, Word and the ability to learn new tools and technologies quickly.
PREFERRED QUALIFICATIONS:
-
Proficiency with Salesforce and/or other databases
-
Bookkeeping experience and familiarity with QuickBooks
Hiring guidelines:
